SOPs?? >> make AI do it today

I have heard about SOPs a few times in the past week. Usually it's a variation of "We don't have all our SOPs up yet" but even heard an agency pitch about how they would help (as part of a paid offering!). SOPs are critical to both owners and searchers and they just happen to be one of the best things to point AI at to solve Yesterday an HVAC owner had lots of complex workflows to process a variety of post-purchase "things" he and his employees need to do after a big installation : update tracking, process online rebates (manufacturer, utility, union), even print and send some documents. No SOPs existed yet so set out to create as fast as possible. If you asked him or an employee to "make an SOP" they'd rightly report they are better things to do or "get to it eventually". But, if you corner someone and just ask them to explain how to do something critical to the business and hit record, you've done the heavy lifting. Now pass it off to Claude or Codex. For example : 1. Record yourself on loom or zoom or another option walking through each step. Don't focus on very edge case or exceptions, just start talking Make sure that whatever you are doing above includes a transcript you can copy and paste 2. Paste this transcript and some screenshots to Claude or Codex and ask AI to "create comprehensive SOPs for this workflow" Do not upload the video itself. AI will still just grab screenshots and attempt to read each one. Your time and tokens will disappear quick. Rather include all the necessary screenshots so that AI can map what you are doing (so the structure of the online portal you are using, or the spreadsheet / google sheet etc etc) You'll quickly get a first draft of an SOP 3. Do not leave it at that. Ask claude or codex to imagine they are a new employee and have to actually use this SOP : what questions are not answered in the above? This is the meat of it as you and AI can discuss exceptions, edge cases and generally how things can still go wrong. This should be a natural compliment to the idea of your business 2nd brain (redacted. Essentially a store of SOPs quickly created and refined via AI in literally mins. Maybe an hour? BONUS : This is how you start to "automate your business". You can watch a lot of YouTube or read hype on Linkedin or just do the above and then naturally ask AI "how can you help me to automate this?" :)

This is great advice. One thing I would just add to the above is to consider which workflows are the most repetitive, which ones are done by a larger group of people, and/or which ones touch revenue. I would stack rank them based on these criteria and then decide which ones I want to go build an SOP against. The real value in these SOPs in 2026 is that AI can help you optimize the process, but then also decide if declarative code or an AI agent or a hybrid of the two can take costs out of your business.
Start with the end goal before you go down the path of just documenting every aspect of the business.
The workflow suggestion above is absolutely correct. It's a process conversation with the experts in the room. If you ask your employees to go write an SOP, their eyes will glaze over, but if you ask them to talk about their job and what they do, they will talk all day. Record it all and have Claude sort it out into an SOP.
